Why Your PMS (Guesty/Lodgify) Is Not an Accounting Tool
If you manage short-term rentals, you probably use (or are looking for) Property Management Software (PMS) like Lodgify, Guesty, or Hospitable.
These tools are fantastic. They sync your calendars, automate guest messaging, and schedule cleaners. They are the "Operating System" of your business.
But many hosts make a critical mistake: They assume their PMS is also their Accounting System.
The "Booking" vs. "Banking" Gap
Your PMS knows about Bookings.
- It knows Guest A booked for $1,000.
- It knows the check-in date was Friday.
Your Bank knows about Cash.
- It knows you actually received $968.50 on Tuesday (after fees and exchange rates).
- It knows you paid a plumber $150 on Wednesday.
The Problem: Your PMS financial reports show what should have happened. They rarely show what actually happened in your bank account.

The "Real" Payout Amount: Most PMS tools pull data from the Airbnb API. They show the "Expected Payout." But if Airbnb deducts a resolution center fee, or if your bank charges a wire fee, your PMS report will be wrong. If you file taxes based on your PMS report, you are filing incorrect numbers.

Off-Platform Expenses: Did you buy new towels at Costco? Did you pay a handyman via Venmo? Your PMS has no idea these transactions exist unless you manually enter them (which nobody does).

The "Source of Truth": In an audit, the IRS/CRA doesn't care what Lodgify says. They care what your Bank Statement says. If your tax return matches your PMS but not your bank deposits, you have a problem.

You don't need to ditch your PMS. You just need to pair it with the right financial tool.
- Operations (The PMS): Use Lodgify/Guesty for calendars, messaging, and channel management.
